The Position

This role oversees all public and private grant activities, ensuring accurate and timely billing, reporting, and compliance with funder deadlines and regulations. It requires expertise in federal, state, and local grants, GAAP, and fiscal requirements. Key responsibilities include managing grant and contract budgets, tracking, invoicing, maintaining critical databases, and serving as the main liaison for internal and external fiscal grant management. The position also coordinates with program and accounting teams and leads audits, monitoring visits, and ad-hoc third-party requests.

What You'll Do

Grant and Contract Management

  • Manage monthly preparation and submission of grant invoices and reports with all required documentation.
  • Ensure invoicing is accurate, timely, and compliant with grant/contract terms.
  • Maintain grant funding inventory and tracking worksheets; update annually or as needed.
  • Participate in grant budget development and modification processes.
  • Track and monitor grant budgets, match requirements, and recommend strategies to ensure full utilization.
  • Oversee the annual budgeting process for grants and contracts.
  • Ensure billing and reimbursement requests are aligned with contract guidelines and recorded accurately.

Compliance and Reporting

  • Provide quality assurance for invoicing and reporting in accordance with GAAP, 2 CFR 200 (Uniform Guidance), and funder-specific rules.
  • Generate Budget vs. Actual variance reports and ad hoc reports for management.
  • Participate in fiscal monitoring activities and external audits.
  • Prepare accurate financial reports and cash flow forecasts.
  • Ensure periodic grant reporting aligns with fiscal compliance standards.
  • Perform general ledger reconciliations and ensure proper documentation of credit memos.
  • Maintain ownership of billing-related GL balances and documentation during monthly financial close.
  • Respond to audit findings and inquiries from funders or financial monitors.

Financial Operations

  • Assist in the month-end close process by tracking receivables, booking estimates, and identifying variances.
  • Review and validate reclassifications with AP, Payroll, and Program staff.
  • Perform reconciliations of prior month general ledger accounts to ensure all expenses are billed.
  • Monitor aging receivables and communicate with funders to resolve payment delays.
  • Identify and escalate potential budget/maximization concerns.
  • Assist with improving data systems for reporting and invoicing to increase accuracy and efficiency.

Leadership and Collaboration

  • Lead and mentor the Grants Specialists team to ensure performance goals and professional development.
  • Act as the primary point of contact with funders, financial monitors, and internal departments regarding grants.
  • Collaborate regularly with the CFO, Controller, and program teams on budgeting and cost allocations.
  • Conduct regular meetings with Program Directors/Managers to review fiscal results and budget performance.
  • Participate in new-grant implementation meetings to ensure accurate, bottom-up budget planning.
  • Promote clear communication across departments and foster a positive, team-oriented work environment.
  • Supervise staff performance and conduct evaluations.

Policies, Procedures and Special Projects

  • Develop, implement, and maintain accounting policies and procedures for consistency and compliance.
  • Support the enhancement of internal systems and tools related to grants financial management.
  • Lead or contribute to year-end closeout of all programs.
  • Perform special projects and other duties as assigned.

Other

  • Maintain and execute confidential information according to HIPPA standards
  • Obtain and maintain CPR/First Aid Certification
  • Ability to pass post offer Tuberculosis (TB) clearances
  • Travel is a regular duty for this position and is required 5% of time
  • Must have and maintain a valid California Driver License and auto insurance in good standing
  • Ability to work a 9/80 work schedule
  • Ability to work a hybrid work schedule
  • Sitting or standing for prolonged periods

Experience

  • Bachelors degree in finance, accounting, or related field.
  • 3+ years of experience in nonprofit finance/accounting, including experience with grants and contracts.
