We are seeking a Human Resources & Payroll Assistant to join our team. The Human Resources & Payroll Assistant primarily assists with processing payroll, updating employee information, reporting, and assisting with HR and payroll related questions. This role is critical in executing our people initiatives, providing great internal customer support, and driving HR functional excellence and process improvement to drive a best-in-class employee experience.
Responsibilities include:
- Act as the first point of contact for internal and external questions and/or requests ensuring all inquiries are addressed and resolved
- Provides guidance to employees regarding general policies and processes
- Support biweekly payroll functions to include entering time and attendance and providing payroll data for leaves
- Process and track earnings for substitutes, longevity, sick leave buyback, TSA matches, and other additional payments
- Assist with hiring, onboarding, offboarding, and other status change processes
- Prepares offer letters and onboarding paperwork for candidates to ensure a positive onboarding experience
- Draft correspondence and reports including offer letters, employment verifications, licensure status/renewal, resignation and retirement notifications, reasonable assurance documentation, etc.
- Support full-cycle recruitment process activities such as tracking open position, posting jobs, scheduling interviews, and processing CORI and fingerprinting results while communicating with candidates and internal stakeholders throughout the process
- Administer and track leaves of absences and unemployment claims
- Prepare reports and materials needed for Reading School Committee, Town Hall, and other meetings as needed
- Ensure employee files are accurately maintained including maintenance of records and tracking of required training, certifications, recertifications, and waivers
- Collaborate with Central Office team to review processes and procedures and make recommendations for improvement to increase effectiveness and efficiency
- Perform projects and other duties as assigned
Qualifications:
Minimum Qualifications: 2+ years of administrative experience or an equivalent combination of education and experience.
Preferred Qualifications: Ability to manage multiple tasks simultaneously while possessing an eye for detail. Creative problem-solving skills with the ability to quickly identify, recommend, and implement solutions. Self-motivation, time management, and an ability to clearly interpret complex scenarios are critical in this role. Excellent interpersonal and communication skills. Ability to work in a collaborative team environment. Ability to maintain a high level of confidentiality and discretion. Proficiency in Microsoft Office Suite.
