ACCOUNTING SPECIALIST
We are seeking a dependable and detail-oriented individual to join our team. This position will primarily focus on invoicing, accounts payable, and general administrative support. The ideal candidate is organized, proactive, adaptable, and comfortable managing multiple responsibilities in a fast-paced office environment.
This role will be heavily cross-trained across multiple administrative and accounting functions, making flexibility, communication, and a willingness to learn essential to success.
Responsibilities
- Process vendor invoices and help manage accounts payable functions
- Prepare client invoices
- Verify billing accuracy and resolve discrepancies
- Maintain organized financial and administrative records
- Assist with data entry and document management
- Communicate with vendors, customers, and internal staff regarding billing and payment inquiries
- Support daily office operations and administrative tasks
- Assist management with reporting, scheduling, and special projects as needed
- Provide support across multiple operational and accounting functions as business needs and priorities shift
- Assist with payroll processing on an occasional basis as backup support when needed
- Adapt to changing workloads and assist in areas outside primary responsibilities when needed
Qualifications
- Previous administrative, bookkeeping, invoicing, or accounts payable experience preferred
- Payroll processing experience is a plus
- Strong organizational and time management skills
- High attention to detail and accuracy
- Proficient in Microsoft Office, especially Excel and Outlook
- Experience with accounting or ERP software is a plus (Deltek experience specifically is a plus)
- Experience in the construction industry is a plus
- Ability to prioritize tasks, adapt quickly, and work independently in a dynamic environment
- Comfortable managing shifting priorities and balancing multiple responsibilities
- Strong written and verbal communication skills
- Reliable attendance and professional demeanor
- Willingness to learn new processes and become cross-functional within the organization
