JOB DESCRIPTION:

Primary Purpose

To assist in the efficient coordination and performance of general ledger accounting procedures. Prepare account reconciliations and required analyses as assigned and assist in the compilation of monthly reports that are distributed to all users of District financial information.

RESPONSIBILITIES:

Major Responsibilities and Duties

  • Maintain Chart of Accounts in compliance with Texas Education Agency regulations.
  • Monitor P-Card transactions and prepare journal entry for import
  • Reconcile and monitor balance sheet accounts monthly (all funds)
  • Perform an analysis of the bill list for Board Agenda (monthly).
  • Compile information as needed for E-rate calculations.
  • Assist with entering and maintaining capital asset and fixed asset records in the ERP system.
  • Maintain W-9 files.
  • Prepare benefits allocation, health trust and workers compensation (monthly), and unemployment (as needed)
  • Prepare federal funds, child nutrition and capital projects benefit reimbursement (semi-annually)
  • Reconcile due to-due from monthly (all funds)
  • Reconcile gross wages to general ledger (monthly)
  • Work with Finance Specialist to reconcile accounts receivable aging report to the general ledger, ensure all invoices are accounted for and print statements (quarterly).
  • Update any changes needed in the Customer Maintenance File and/or Vendor Maintenance File when employees update personal information within Employee Self Service (weekly).
  • Set up employees as vendors within the Vendor Maintenance File as needed.
  • Set up Customers in general billing as needed.
  • Assist in the preparation/maintenance of the District's finance procedures manual.
  • Perform ledger overview as assigned.
  • Works in conjunction with the Accounting Federal/Special Programs Specialist on journal entries, accounts payable, and P-Card transactions as assigned by the Director or Executive Director of Finance.
  • Record, reconcile, update and maintain interest spreadsheet to the general ledger (monthly).
  • Process Graphic Arts work order and Transportation fuel charge distributions (monthly).
  • Prepare Transportation Cost Report (annually).
  • Maintain 1099 stock and hand stamp as needed.
  • Work with Assistant Director in compiling and preparing 1099 forms for contracted vendors.
  • Conduct physical counts, reconcile and adjust year-end inventory for Child Nutrition and Transportation.
  • Assist in year-end closing procedures as assigned.
  • Assist in annual audit, as assigned.
  • Maintain confidentiality of department information.
  • Keep informed of and comply with state and district policies and regulations concerning primary job functions.
  • Attendance at work is an essential function.
  • Perform other duties as assigned by Executive Director of Finance or designee.

EXPERIENCE:

Minimum Experience

  • Experience in school district accounting, auditing, and accounting procedures and other qualifications in governmental accounting as deemed necessary

QUALIFICATIONS:

Minimum Education/Certification:

  • Bachelor's degree or higher from an accredited college or university with a major in accounting, business administration or related degree required
  • Bachelor's degree in accounting preferred
  • Valid Texas driver's license
  • Eligible for coverage under the District's vehicle insurance program

Special Knowledge/Skills:

  • Knowledge of school finance, budgets, accounting system, and office management techniques and procedures
  • Must attain a working knowledge of all state laws and regulations pertaining to the reporting of financial information to state, federal, and local agencies
  • Effective communication skills and the ability to exercise judgment in decision making
