Oceans Financial Group is a boutique financial management firm serving small businesses across New Jersey and New York. We are seeking a highly organized, detail-oriented, and dependable Bookkeeper/Accounting Assistant to join our professional and collaborative team.

To be determined based on experience

KEY RESPONSIBILITIES:
Enter bills, vendor invoices, and transactions into QuickBooks Online and Desktop
Download and categorize bank feed transactions for multiple clients
Reconcile bank accounts and credit cards monthly
Process payroll submissions and coordinate with payroll companies
File monthly and quarterly sales tax returns
Generate and email rent invoices for property management clients
Apply tenant rent payments and track outstanding balances
Pay client bills including utilities, insurance, and vendor invoices
Collect outstanding receivables, follow up with clients and vendors
Respond to client and vendor emails professionally
Save and organize financial documents in Dropbox and client portals
Generate monthly financial reports (P&L, Balance Sheet, reconciliations)
Track and follow up on vendor W9 collection
Complete tasks according to detailed step-by-step SOP instructions
Communicate updates and questions through our internal system

REQUIRED QUALIFICATIONS:
Minimum 2 years of bookkeeping or accounting experience
Proficiency in QuickBooks Online certification a plus
Experience with QuickBooks Desktop required
Experience handling multiple clients
Organized, reliable, and able to work independently
Comfortable following written SOPs and step-by-step instructions
Able to handle sensitive and confidential financial information with discretion
Strong written communication skills professional email etiquette
Comfortable working in a fast-paced multi-client environment

PREFERRED QUALIFICATIONS:
Experience with property management bookkeeping
Familiarity with payroll processing (ADP, FingerCheck, Paychex, or similar)
Experience with sales tax filing in NJ and/or NY
Experience with 1099 preparation and filing
Familiarity with Dropbox for document organization
