Job Position: : Accounting Assistant The Accounting Assistant provides support to the accounting department by performing daily clerical tasks, maintaining financial records and ensuring accurate data entry. This role assists with accounts payable, receivable, purchasing, job costing and general office duties to maintain efficient accounting operations. Key Responsibilities: Process and record invoices, payments and receipts to Vendors and Subcontractors Assist with accounts payable, accounts receivable and purchasing functions, including AIA billing, job and rental billing and Customer change orders Prepare and maintain financial reports and spreadsheets Support month end and year end closing tasks, including 1099 Preparation Maintain organized filing systems for financial documents Communicate with vendors, subcontractors and clients regarding billing or payment inquiries Assist with audit and compliance documentation as needed Assist Project Managers with Change Orders Track subcontractor insurance certificates and contracts. Qualifications: High School diploma or equivalent. Associate degree in accounting preferred 1-2 years of bookkeeping experience Basic understanding of accounting principles Basic understanding of Project Management Proficiency in Microsoft Office products including Word and Excel Strong attention to detail and organizational skills Ability to manage multiple tasks and meet deadlines Preferred Qualifications Previous experience in accounting or bookkeeping role AIA billing experience Familiarity with Sage 300 accounting software Basic understanding of Job Cost Accounting Work Environment This role typically operates in an office setting with standard business hours and may require occasional overtime during financial closing periods.
