POSITION OVERVIEW
The Accounts Payable & General Cashier plays a key role in ensuring financial accuracy and operational integrity at 1 Hotel Hanalei Bay. This dual functional position is responsible for managing vendor payments, processing purchase orders, and overseeing all daily cash handling activities with precision and discretion.
As General Cashier, the position ensures accurate reconciliation of daily cash and sales reports from all revenue outlets, prepares daily bank deposits, and maintains accountabilities for all issued house banks. As part of the Accounts Payable function, the role involves entering and tracking purchase orders in BirchStreet, reviewing and matching invoices with POs and receipts, and resolving any discrepancies through vendor statement review and internal communication.
The ideal candidate is proficient in BirchStreet and HMS, with the ability to maintain organized financial records and uphold brand standards in all internal and external interactions. This role demands integrity, attention to detail, and a proactive approach to maintaining compliance with hotel and corporate finance policies.
PRINCIPLE DUTIES AND RESPONSIBILITIES
Accounts Payable
- Review and verify all vendor invoices for accuracy, ensuring appropriate approvals and coding per chart of accounts.
- Enter and manage purchase orders (POs) in BirchStreet, matching POs to invoices and goods receipts.
- Maintain up-to-date records of all payable transactions and support documentation in compliance with internal controls.
- Perform regular vendor statement reviews, reconciling discrepancies and resolving any payment issues in a timely and professional manner.
- Prepare payment batches according to due dates and company policy, ensuring timely disbursement by check, ACH, or wire transfer.
- Communicate with vendors and internal departments regarding invoice status, PO discrepancies, and documentation needs.
- Assist with month-end closing procedures, including accruals, inventory and AP reporting.
- Support internal and external audit requests by providing organized and accurate AP records.
- Perform a variety of accounting support tasks as needed, based on business priorities and under the direction of the Accounting Manager.
General Cashier
- Collect, count, and reconcile daily deposits from all hotel revenue outlets using HMS, IG and supporting reports.
- Verify cash handling accuracy, research discrepancies, and report variances to department leaders and Finance Management.
- Prepare and make daily bank deposits in a secure and timely manner.
- Maintain detailed logs of cash movements, deposit activity, and over/short investigations.
- Issue and audit house banks for operational departments, ensuring proper documentation and adherence to cash control procedures.
- Reconcile the General Cashier Safe on a regular basis and perform periodic surprise counts.
- Manage and reconcile the hotel's petty cash fund, ensuring appropriate receipts and approvals are maintained.
- Prepare the Daily Cash Report, summarizing cash movements and balances for Finance leadership.
REPORTING RELATIONSHIPS
Reports to the Accounting Manager of 1 Hotel Hanalei Bay.
QUALIFICATIONS & SKILLS
REQUIRED:
- Minimum 2 years of experience in hotel accounting, with hands-on roles in Accounts Payable and/or Cashiering.
- Solid understanding of basic accounting principles and internal controls.
- Proficient in Birchstreet for PO Processing and Invoice Management.
- Strong attention to detail with high levels of accuracy in data entry and reconciliation.
- Excellent organizational and time management skills with the ability to prioritize and meet deadlines.
- Strong communication and interpersonal skills to interact effectively with vendors and internal departments.
- Proven ability to handle confidential information with integrity and discretion.
- Comfortable working both independently and collaboratively in a fast-paced, high-standard environment.
- Professional and appropriate business appearance and demeanor aligned with the 1 Hotels brand and culture.
- Flexibility to work occasional weekends, holidays, or extended hours during audits or month-end closing periods.
PREFERRED:
- Familiarity with hotel financial systems such as HMS, Infogenisis, Avero or Birchstreet.
- Experience processing high-volume invoices and working with multiple departments and cost centers.
- Knowledge of hospitality-specific financial procedures, including night audit reporting and revenue reconciliation.
- Prior experience with cash audit procedures and conducting surprise bank counts.
- Understanding PCI compliance and secure cash handling protocols.
- Demonstrated ability to support month-end and year-end closing tasks with minimal supervision.
