POSITION SUMMARY

The Mail Clerk is responsible for sorting, processing, picking up, and delivering mail, packages, files, and interoffice correspondence for the Clerk of Court and Comptroller. This position requires operating county vehicles, computerized mail equipment, postage machines, scanners, and other mailroom tools to ensure accurate and timely mail distribution throughout Miami-Dade County. The Mail Clerk must determine proper mailing rates, complete mail forms, maintain daily postage logs, obtain signatures for priority deliveries, and follow assigned delivery routes. This role requires basic computer skills, the ability to work independently, safe driving, attention to detail, and the physical ability to lift 40 pounds, walk stairs, and drive for extended periods.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Operates a county motor vehicle in the distribution of mail and interoffice correspondences as well as packages and files for the office of the Clerk of Court and Comptroller.
  • Operates standard and/or computerized mail processing equipment; determines proper class and zone for USPS mail on standard or computerized mail scales to determine correct rate
  • Measures the size and weight of packages to determine applicable mailing requirements and/or surcharges.
  • Responsible for using account codes in computerized postage machines that record transactions on daily logs.
  • Properly fills out mail forms with details such as quantity and mail type.
  • Sorts interoffice mail in destination boxes both in a central mailroom facility and on delivery routes.
  • Sorts incoming U.S. mail prior for interoffice delivery in appropriate mailboxes.
  • Receives signatures from high priority or express items.
  • Responsible for picking up and dropping off mail, packages and files to all destinations on the route.
  • Provide critical mail pickups and deliveries when needed throughout Miami-Dade County.
  • Responsible for ensuring that routine maintenance is done on assigned vehicle, and alerting supervisor of any issues with any equipment related to the job functions.
  • Must be able to work independently.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Basic knowledge of Microsoft products which include, Word, Excel and Outlook.
  • Ability to collate mail requires dexterity of hands and reading 10-point font.
  • Knowledge of the operation of computerized equipment which includes scanners, touch screen displays and letter openers.
  • Ability to comply with workplace safety standards, practices and procedures.
  • Ability to safely use hand trucks and office carts for deliveries.
  • Ability to drive to destinations throughout Miami Dade County.

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS

  • Must be able to lift and handle items weighing up to 40 pounds.
  • Must be able to walk up 3 flights of stairs.
  • Must have a valid driver's license in good standing.
  • Able to drive daily for up to 8 hours.
