Developmental Services of Northwest Kansas (DSNWK) is looking for a dedicated full-time Payroll Coordinator to join our Human Resources and Training team.

The Role

As our Payroll Coordinator , you will be at the center of our financial and personnel operations. Enjoy a stable schedule from Monday to Friday, 8:00 AM - 5:00 PM, providing you with a consistent work-life balance as you manage essential HR functions.

Key Responsibilities

  • Payroll Excellence: Maintain records and complete the bi-weekly payroll cycle for employees and the individuals we serve.
  • Benefit Administration: Coordinate and process employee benefits, including health insurance enrollments and KPERS reporting.
  • Personnel Management: Keep accurate employee profile records, conduct background checks, and manage "no driving" notices for staff.
  • Reporting & Compliance: Collaborate with vendors on quarterly tax reports and W-2 distribution, assist with audits, and compile data for turnover and census reports.
  • Team Support: Provide training in your areas of expertise and serve as a vital backup for the Manager of Human Resource Services.

Qualifications

  • Education: A High School Diploma or equivalent is required. Candidates with post-secondary education related to bookkeeping or data processing are preferred.
  • Experience: At least one year of payroll processing experience is required. Additional experience in bookkeeping or data entry is a plus.
  • Skills: A valid driver's license and the ability to exercise high levels of discretion and good judgment when handling confidential information are essential.

Payroll Coordinator

Department - Human Resources and Training

FLSA Status - non-exempt

Job Summary

Primarily responsible for processing payroll, its ancillary functions and personnel records management. Assist with employee benefit administration, employee orientation and ongoing training related to personnel functions and, in a back-up capacity, the hiring process.

Essential Functions

  1. Establish records and complete payroll cycle for employees and individuals served on a bi-weekly basis.

  2. Ensure quarterly payroll tax reports are completed by HR and Payroll vendor and maintain records.

  3. Ensure W-2 statements are completed and distributed by the HR and Payroll vendor.

  4. Assist with any audits as requested.

  5. Assist with establishing and maintaining employee profile records.

  6. Process employee background checks upon hire and then every two years for existing staff, or upon request.

  7. Submit "no driving" notices to supervisors for employees with restricted driving privileges and follow-up when restriction period expires.

  8. Coordinate and process the administration of employee benefits.

  9. Perform duties required by KPERS and process reports.

  10. Compile data and prepare reports (i.e., employee turnover, retention, census, and others upon request).

  11. Provide training in areas of responsibility upon request.

  12. Perform duties of the Manager of Human Resource Services on a back up basis.

  13. Maintain knowledge and skills related to human resources, in particular payroll, through regular review of written materials and attendance at training events.

  14. Oversee health insurance related enrollments, including notifying employees and supervisors of eligibility deadlines.

HIPAA Compliance

  1. This position is responsible for maintaining confidentiality for all PHI and ePHI that is shared with this person. This position will have access to names of all persons served and location where they receive services.

Other Responsibilities

  1. Complete other duties as assigned by the Manager of Human Resource Services and/or the Director of Administrative Services.

  2. Thisposition is not subject to the two year training period as defined by KPERS.

Job Specifications

Education - High School Diploma or equivalent required. Post secondary education related to bookkeeping and/or data processing preferred.

Experience - One year payroll processing experience required. Other bookkeeping or data entry experience preferred.

Extent of physical effort required - Routine job requirements. Little if any behavior or other physical intervention.

Other Requirements

  1. Able to exercise good judgment and discretion in handling confidential information.

  2. Valid driver's license.
