Position Overview:
We are seeking a detail-oriented and customer-focused AccountingSpecialist to join our custom seating and upholstery company. This role bridges customer service with basic accounting functions, ensuring a smooth experience from order placement through billing and delivery. Ideal candidates will have a strong grasp of customer management, order tracking, and financial processing in a fast-paced, design-driven environment.
Key Responsibilities:
Serve as the primary liaison between customers and internal departments (production, design, finance, and logistics)
Prepare and manage quotes, invoices, sales orders, and payment confirmations
Track and follow up on customer payments and outstanding balances
Perform basic bookkeeping tasks, such as data entry, reconciliations, and updating financial records
Generate and review customer account statements to ensure accuracy
Ensure all transactions are recorded in compliance with company policies and accounting standards
Monitor customer credit limits and coordinate with finance on approvals or holds
Assist with month-end and year-end closing processes related to customer accounts
Manage tax documentation and ensure proper application of sales tax based on location
Collaborate with accounting to resolve discrepancies or billing disputes
Maintain accurate records of customer interactions, purchase orders, change orders, and payment history
Required Qualifications:
2+ years of experience in account management, customer service, or accounting support (experience in furniture, manufacturing, or interior design preferred)
Proficiency in accounting software such as QuickBooks, Xero, or NetSuite
Solid understanding of accounts receivable (A/R) and invoicing processes
Familiarity with purchase orders, sales tax application, and inventory systems
Experience with CRM tools and Microsoft Office, especially Excel
Strong numerical aptitude and attention to detail
Excellent communication, organizational, and time management skills
Ability to handle sensitive financial information with discretion and accuracy
Preferred Skills:
Experience with ERP systems and integration of sales and accounting functions
Understanding of product costing and margin analysis
Ability to interpret and analyze financial reports related to customer accounts
Bilingual in Spanish or another language (optional)
