Position Summary

The Accounts Payable Manager is a key finance leader responsible for ensuring operational excellence, financial integrity, and scalable process management within the accounts payable function.

This role goes beyond transaction oversight. The Accounts Payable Manager will lead a high-performing team, strengthen vendor and officer partnerships, drive automation and process optimization, and ensure compliance with financial controls and regulatory requirements. The ideal candidate brings a mindset of ownership, continuous improvement, and cross-functional collaboration.

This leader plays a critical role in protecting the company’s financial health while fostering a culture of accountability, service, and precision.

Essential Duties & Responsibilities

Leadership & Team Development

  • Lead, coach, and develop the accounts payable team to drive high performance, accountability, and professional growth.
  • Establish clear performance standards and metrics aligned with company objectives.
  • Foster a collaborative, respectful team culture that reflects company values.
  • Ensure succession, readiness and skill development within the function.

Operational Ownership

  • Own and optimize the end-to-end accounts payable lifecycle, including invoice processing, approval workflows, payment execution, and vendor reconciliation.
  • Ensure timely and accurate payment processing while maintaining strong internal controls.
  • Monitor and manage AP aging to support healthy vendor relationships and cash flow strategy.
  • Identify and resolve complex discrepancies with sound judgment and urgency.

Financial Controls & Compliance

  • Maintain adherence to company policies, GAAP standards, and regulatory requirements.
  • Oversee 1099 reporting, sales tax compliance, and other applicable tax obligations.
  • Support internal and external audits, ensuring documentation integrity and control effectiveness.
  • Partner with the Controller to strengthen internal control frameworks and mitigate risk.

Process Improvement & Automation

  • Continuously evaluate AP systems and processes to drive efficiency, scalability, and accuracy.
  • Lead initiatives related to automation, system enhancements, and workflow optimization.
  • Leverage data analytics and reporting tools to provide actionable insights to leadership.
  • Implement best practices aligned with enterprise finance standards.

Cross-Functional Partnership

  • Partner with Operations, Procurement, and other departments to streamline invoice approvals and reduce cycle times.
  • Serve as a trusted internal resource for resolving vendor inquiries and payment issues.
  • Maintain strong, professional vendor relationships while safeguarding company interests.

Reporting & Strategic Contribution

  • Develop and analyze AP metrics, dashboards, and financial reports to inform leadership decision-making.
  • Contribute to month-end and year-end close processes, including accruals and reconciliations.
  • Support cash flow forecasting and working capital management initiatives.

Success in This Role

Within the first 12 months, the Accounts Payable Manager will:

  • Establish measurable improvements in processing accuracy and cycle time.
  • Strengthen vendor and officer satisfaction while reducing escalations and disputes.
  • Implement at least one process automation or workflow enhancement initiative.
  • Improve reporting transparency and visibility into AP metrics.
  • Elevate team engagement, performance standards, and accountability.

Qualifications & Experience

  • Bachelor’s or Associates degree in Accounting, Finance, Business, or related field.
  • 5+ years of progressive experience in accounts payable leadership or similar finance management role.
  • Demonstrated success leading teams in fast-paced, growth-oriented environments.
  • Strong working knowledge of AP best practices, internal controls, and regulatory compliance.
  • Experience with ERP systems and AP automation tools.
  • Advanced Excel proficiency (pivot tables, lookups, data analysis).
  • Proven ability to drive process improvement and operational efficiency.
  • Strong analytical skills with the ability to resolve complex financial issues.
  • Exceptional organizational, communication, and interpersonal skills.
  • High level of integrity and discretion when handling sensitive financial information.
  • Executive presence and ability to influence across functions.
