What will you be doing?

The Billing Supervisor is responsible for the day-to-day leadership and operational oversight of an assigned billing portfolio. Reporting directly to the Senior Billing Manager, this role manages a team of Billing Analysts across multiple states and time zones and serves as a key operational link between frontline billing operations and Finance/Operations leadership. The Billing Supervisor collaborates with peer supervisors to maintain consistency and drive process improvements.

Responsibilities

Supervise, mentor, and develop a team of Billing Analysts

Provide ongoing coaching and performance feedback through regular one-on-ones, team meetings, and formal evaluations

Recruit, onboard, and train new Billing Analysts as business needs evolve

Foster a collaborative and accountable team culture through proactive communication, employee recognition

Collaborate with peer Billing Supervisors and the Senior Billing Manager to align standards, share best practices and drive process consistency across portfolios

Oversee all aspects of the billing cycle for the assigned portfolio, including tuition and subsidy billing, payments, accounts receivable and collections

Ensure accurate and timely invoicing across all centers within the assigned portfolio

Review and approve billing adjustments, credits, refunds, and write-offs in accordance with company policy

Monitor billing metrics and KPIs; identify trends, discrepancies, and opportunities for improvement

Serve as the escalation point for complex billing issues

Maintain knowledge of state-specific billing, subsidy, and payment processing regulations for assigned portfolio

Ensure billing practices are compliant with applicable childcare subsidy programs and state regulations

Monitor regulatory changes and communicate impacts to the Senior Billing Manager

Develop, document, and maintain billing policies, procedures, and standard operating guidelines

Identify and implement process improvements to increase efficiency, accuracy, and scalability

Prepare regular billing reports and support month-end activities, reconciliations, and audit preparation

Leverage billing software capabilities to improve data accuracy, workflow automation, and reporting

Qualifications

4+ years of billing, accounts receivable, or related finance/operations experience

2+ years of supervisory or team lead experience, including management of remote direct reports

Experience in childcare, early education, or related human services industry preferred

Hands-on experience with childcare billing platforms

Working knowledge of multi-state billing requirements and/or childcare subsidy programs

Strong analytical and problem-solving skills with exceptional attention to detail

Proficiency in Microsoft Office Suite, with strong Excel skills (pivot tables, VLOOKUP/XLOOKUP, data validation)

Excellent written and verbal communication skills; with the ability to collaborate effectively across departments

Strong organizational skills with the ability to prioritize competing demands and meet deadlines in a fast-paced, growth-oriented environment
