About The Division: Join the Agency Administration division as an Agency Administration Operations Specialist! Work involves planning, developing, coordinating and/or overseeing high-level operations of the division, including business continuity, procurements, training, timekeeping, property inventory, warrant distribution, open records, and records management. Assists with various assignments throughout the division as workload issues arise. Monday through Friday, 40 hours a week with occasional evening, weekend hours and holidays. Hours may change based on business need. Qualifications Minimum Qualifications Bachelor's degree. 7 years of experience performing administrative support to executive and/or division management and staff. 3 years of experience in the use of MS Excel for the development of spreadsheets and reports. 3 years of experience with MS Word. Preferred Qualifications Bachelor's degree in business administration or accounting. Experience performing administrative support to executive and/or division management and staff at a State of Texas agency. Experience with Centralized Accounting and Payroll/Personnel System (CAPPS) requisition entry. Experience with Uniform Statewide Payroll System (USPS) entry. Experience with Uniform Statewide Accounting System (USAS) entry. Substitutions One additional year of state agency experience performing administrative support to executive and/or division management work may substitute for 30 semester hours of required education with a maximum substitution of 120 semester hours (four years). In this role you will: Provide overall administrative support for the various admin department heads, as well as assisting the director in coordinating special projects, facilitating internal planning and project teams within the Agency Administration division and providing technical assistance for the various functions that the division oversees. Coordinates and collaborates with staff in program planning, development, analysis, and documentation of agency programs. Assists with review and communication of agency policies to division staff as needed. Serves as liaison for division management regarding division contract requirements, division contract staffing needs and procurement of services. Serves as the division's primary contact for general division inquires. Manages division procurements, including contractors, supplies and equipment using agency and statewide guidelines, rules, policies, and laws. Manages division credit card purchases, supply inventory, credit card logs and contract renewals. Tracks the status of requisitions and purchase orders and coordinates the division's invoice approval process. Maintains division key process and function overview material to ensure business continuity. Provides professional and technical assistance to the Division Director. Prepares technical and administrative materials for meetings with Executive Administration, Division Directors, and other outside entities. Coordinates meeting schedules as needed. Serves as the division Property Inventory Coordinator, Open Records Coordinator and Records Retention Liaison. Processes Open Records requests and reviews open records cost methodology as needed.
