AR/AP Accounting Specialist

The AR/AP Accounting Specialist exists to manage all aspects of accounts receivable and accounts payable for Emerald Fire. This role ensures accurate monthly billings, invoicing, collections follow-up, vendor payments, and financial documentation so the business can operate with strong cash flow, accountability, and client confidence. The AR/AP Specialist acts as a trusted financial partner to the Senior Controller - ensuring accuracy, timeliness, and professionalism in every customer, vendor, and internal interaction. Key Responsibilities Manage monthly billings, progress billing, and invoicing processes. Track accounts receivable, monitor aging, and follow up on collections. Process vendor invoices, reconcile statements, and ensure timely payments. Maintain financial records, billing documentation, and accounting data in ERP (Sage.) Support month-end close, reporting, and financial accuracy for leadership. Communicate with customers and vendors regarding billing, payments, and account questions. Maintain organized files, records, and documentation for audit readiness and internal tracking. Resolve discrepancies proactively and help improve accounting and billing processes. Apply construction and jobsite knowledge to billing support, documentation, and customer service. Top Priorities 1. Managing Accurate and Timely Monthly Billings, Invoicing, and Collections 2. Strong experience with monthly billings, invoicing, collections, and customer follow-up. Experience handling customer and vendor communication with professionalism and accuracy. Strong Sage/ERP experience required; advanced proficiency in Sage is strongly preferred. Construction, fire protection, or jobsite-based industry experience highly preferred.
