Accounting Specialist needed for a Property Management company in South Palm Beach! We are seeking a personable, service-oriented professional to join our team in a role that balances financial processing with active community engagement . While a third-party bookkeeper handles the "nitty-gritty" accounting, this position is the frontline for daily financial operations and shareholder interactions. The ideal candidate isn't just a "numbers person"you are a proactive communicator who can navigate software systems and people with equal ease. Core Duties and Responsibilities Primary Focus: Experience must be within a financial/accounting processing role. The majority of the job is processing financials (deposits, payroll), with the "nitty-gritty" handled by an outside bookkeeper. Interpersonal Skills: The person must be personable, interactive, and service-focused, not a "heads down" type. Must have the capacity to understand systems and deal with people effectively. Property Management: Property management experience is not required, but of course, it's preferred. Financial Processing: Bi-weekly payroll preparation and timesheet accuracy. Maintain fee assessment collection and delinquency procedures, including sending delinquent letters and overseeing late shareholder accounts for filing with the collection attorney after 60 days. Perform daily/monthly tasks such as ACH/check payment entry, scanning checks to Chase for deposit, petty cash reconciliation, and submitting sales tax on storage payments. Handle Chase and Wells Fargo credit card coding, receipt backup, and the payment/scanning of all invoices into the PayHOA system for transmission to the bookkeeper. Core expectation: Must understand the basics of math and use common sense for tasks such as reconciling credit card payments and coding. Administrative & Shareholder Relations: Maintain Shareholder files and PayHOA database accuracy. Handle incoming questions and concerns from Shareholders if the front desk cannot answer. Enforce governing documents, communicate By-Laws and Rule requirements, and carry out due process regarding complaints. Manage paperwork for Share/Proprietary Lease transfer documents, including Estoppels, related to sales activity within property. Required Technical Skills Financial Software: PayHOA preferred, but not required (community management software, described as being like QuickBooks). Microsoft Office: Excel: Need a good grasp, intermediate skills requiring navigating well and manipulating data. Will be tested. Word: Important, as this is used regularly. Will be tested. PowerPoint: Basics are required. Other Skills: Numeracy, ability to think critically, strong organizational and time management skills. French language skills would be an asset.
