JOB SUMMARY

To provide financial accounting and bookkeeping services that contribute to efficient financial management of school system funds.

SUPERVISORY RESPONSIBILITIES

None

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Perform routine office procedures as needed (open mail, filing, answering phone, and helping with fax machine).
  • Verify invoices against purchase orders and obtain authorization to pay, then process for payment. (Follow up on back orders on purchase orders.)
  • Key in invoices.
  • Help establish good audit trail for Accounts Payable.
  • Help verify codes on all purchase orders.
  • Type purchase orders as needed for the local schools and Central Office.
  • Verify utilities and process for payment as needed.
  • Check statements to ensure that all invoices are paid.
  • Set up new vendors.
  • Sort and distribute mail to all departments when needed.
  • Assign Purchase Order numbers when needed.
  • Enter in and maintain fixed assets and inventory items in the accounting system.
  • Work cooperatively with other bookkeepers.
  • Assume other reasonable and equitable job-related duties assigned by the immediate supervisor.

MINIMUM QUALIFICATIONS

  • EDUCATION AND/OR EXPERIENCE

High school diploma or GED, ability to gather data, compile information, and prepare reports. Technology skills experience of considerable variety and complexity. Two

years of experience is required; at least one of which should be comparable in duties and responsibilities to that of a bookkeeper.

  • LANGUAGE SKILLS

Fluency in written and spoken English is essential. Ability to communicate orally, polite and respectful to others. Able to check and proofread documents for accuracy as well as proficiency in technology and computer programs.

  • PHYSICAL DEMANDS

Moderate lifting, stooping and kneeling are required. Extended amounts of time at the computer and keyboard is expected.

  • WORK ENVIRONMENT

Works with little supervision, makes timely completion of office projects and adapts to changing priorities. Keeps all Human Resource, Substitute and System related information confidential. Ability to organize and maintain accurate records.
