The Payroll & Benefits Supervisor is responsible for overseeing companywide payroll operations, ensuring accurate calculation of wages, tax withholdings, and deductions. This role prepares payroll-related reports, supports government compliance, and assists in the administration of employee benefits across all locations. The position also provides administrative support to Human Resources and ensures wage and benefit programs comply with all federal and state regulations. Essential Duties and Responsibilities Payroll Administration Oversee and process companywide payroll, ensuring accuracy and timeliness Maintain payroll systems, including data collection, calculation, and entry Review and approve updates such as exemptions, deductions, insurance coverage, job changes, and department transfers Coordinate payroll disbursement, including direct deposits and paycheck uploads to WF Bank Review PTO records, timekeeping, and operational records (e.g., boat unload records) Balance payroll liability accounts and resolve discrepancies Respond to employee and management payroll inquiries Reporting & Compliance Prepare and submit required reports, including: SAIF payroll reports BLS (Bureau of Labor Statistics) reports Multiple Worksite Reports ACA reporting Prepare and file reports required by federal and state agencies (IRS, Department of Labor, BOLI, etc.) Ensure compliance with ERISA and ACA regulations Support and manage audits, including: SAIF Costco BOLI U.S. Department of Labor Maintain confidentiality and ensure compliance with all payroll laws and regulations Benefits Administration Support administration of health and welfare benefit plans Coordinate Open Enrollment for all company locations Process enrollments, changes, and terminations Manage and reconcile monthly benefit invoices, including: Transamerica Life Insurance Aflac Premera Prepare benefit reports, census data, and documentation for carriers and management Year-End & Financial Responsibilities Review and verify W-2 forms for accuracy Assist with year-end payroll processing and reporting HR & Administrative Support Provide administrative support to the HR Department Conduct exit interviews in the absence of a supervisor Assist with development and adherence to SOPs and best practices Participate in development and implementation of payroll and benefits policies Additional Duties Support continuous process improvement initiatives Perform other duties as assigned Required Skills / Abilities / Qualifications Bilingual in English and Spanish (preferred but not required) Strong knowledge of payroll processing, tax regulations, and compliance requirements Excellent communication and interpersonal skills across all organizational levels Advanced proficiency in Microsoft Excel (data analysis, payroll reporting, pivot tables, and reconciliations) Strong organizational, analytical, and problem-solving abilities Ability to manage confidential information with discretion Experience improving processes and implementing efficiencies Ability to interpret complex information and translate into actionable steps
