JOB SUMMARY: The Payroll Administrator is responsible for overseeing and executing all aspects of payroll and benefits administration using ADP Workforce Now. This role ensures the accurate and timely processing of multi-state payroll, manages employee benefits programs, and ensures full compliance with federal, state, and local regulations. The Payroll and Benefits Specialist serves as a key liaison between HR, Finance, and employees, providing expert guidance on payroll practices, implementation of a virtual benefits enrollment platform, benefits administration, and systems management. This position plays a critical role in maintaining data integrity and confidentiality, and efficient and compliant payroll and benefits operations. The ideal candidate will bring in-depth knowledge of ADP Workforce Now, a strong understanding of payroll tax laws at the federal and state levels and can work autonomously.
RESPONSIBILITIES: Administer and process biweekly/multi-state payrolls accurately and on time using ADP Workforce Now, ensure all payroll transactions are processed in accordance with federal, state, and local laws and company policies, maintain payroll records and employee data, including new hires, terminations, promotions, and other changes in ADP, manage year-end processing including W-2s, ACA reporting, and assisting with tax filings, serve as the primary liaison with ADP for payroll-related issues and enhancements, monitor and implement legislative changes affecting payroll processes and tax compliance.
Benefits Administration - Oversee the administration of health, dental, vision, life, disability, 401(k), COBRA, and other company-sponsored benefits, ensure benefits data is accurately reflected and maintained in ADP Workforce Now, administer qualified life event changes and ensure timely processing through ADP, and act as the main point of contact for employee benefit inquiries and resolve issues with providers.
Compliance and Reporting - Maintain compliance with federal and state labor laws, ERISA, FLSA, HIPAA, and ACA regulations, generate and distribute requested reports for management, finance, HR, and auditors, and ensure all payroll and benefit documentation is securely stored and maintained in accordance with company policies and regulatory requirements.
Employee Support and Communication - Provide guidance and support to employees regarding payroll questions, benefit plans, and enrollment processes, work with HR, train employees and managers on ADP Workforce Now functionality relevant to their roles, and develop clear and concise communication materials regarding pay, benefits, and system use.
Compliance and Reporting - Maintains the highest level of discretion and confidentiality when dealing with sensitive employee and organizational information, expertise in ADP Workforce Now, comprehensive understanding of ADP modules including Payroll, Benefits, Time & Attendance, and Reporting, and proven ability to configure, troubleshoot, and optimize system workflows.
Payroll Administration - Proficient in processing multi-state payroll, managing garnishments, payroll taxes, and year-end filings including W-2's and ACA compliance.
Technology Proficiency - Skilled in Microsoft Office Suite (especially Excel), ADP reporting tools, and document management systems. Comfortable learning and applying new HR technologies.
