SUMMARY DESCRIPTIONThe Staff Accountant will manage the accounts payable functions of the organization, ensuring vendor payments are processed timely, recorded accurately, and in accordance with organization policies. This position requires adherence to organization confidentiality standards and acute attention to detail.
ROLES & RESPONSIBILITIES- Oversee the Accounts Payable function, including the bi-weekly check run and electronic payment process for invoices, reimbursements and corporate credit card expenses.
- Review all payment requests and reimbursements and verify accuracy in vendor invoices, supporting documentation, general ledger code and proper approval in compliance with organizational policies.
- Ensure accurate and timely processing of vendor payments, including checks, ACH transfers and electronic payments according to established schedules.
- Manage monthly credit card reconciliation for staff accounts.
- Reconcile vendor statements and identify billing errors to ensure all outstanding invoices are accounted for and promptly resolved.
- Communicate with vendors and internal stakeholders to address inquiries related to accounts payable matters.
- Prepare monthly journal entries and account reconciliations for key balance sheet accounts and monitor other assigned general ledger accounts, ensuring information is recorded on an accrual basis and in accordance with GAAP.
- Ensure compliance with financial policies, procedures, and regulatory requirements.
- Prepare bi-weekly report of paid invoices for cashflow statement.
- Collaborate with the Senior Accountant to complete month-end close processes.
- Assist in generating department-level financial reports.
- Responsible for preparing and filing of all year-end 1099s; verifying and confirming all vendor data
- Assist with ad hoc financial projects and provide support for all program and organization audits.
- Maintain comprehensive Accounts Payable filing system.
- Perform other duties as assigned.
- Minimum 5- 7 years of related experience in accounting, preferably in a mid-sized or large non-profit.
- Bachelors degree in finance, accounting or related discipline, or an associates degree in finance or accounting with commensurate experience.
- Proficiency in Microsoft 365 and Fund EZ or similar accounting software, non-profit accounting standards, and fund accounting.
- Strong understanding of GAAP, non-profit accounting principles, accounts payable principles, practices and procedures.
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities.
- Excellent interpersonal, organizational and time management skills.
- Professional manners and effective communication skills, with the ability to work independently and collaboratively in a team environment, towards shared goals.
