This position is located in BabyNet (CRT) , Richland County.
Are you the One? We are looking for a Program Assistant who will work on the Central Referral Team (CRT), will be promote the front-line of access for the BabyNet program. CRT member will manage a large volume of referrals via inbound telephone calls and OnBase. Follow authorized communication "scripts" for handling various BabyNet inquiries/topics. Provide excellent customer service to the public and to the internal customer. Work effectively with BabyNet eligibility and state office staff in developing sound solutions to accomplish the S.C Department of Health and Human Services mission (The Department). Demonstrate positive, cooperative and professional relationships and customer service with staff, co-workers, customers, providers, administrators, the general public, and all stakeholders. Must exhibit dependability/reliability/time management by reporting to work on time, by meeting work schedules and deadlines and completing job tasks effectively and efficiently. Under limited supervision, this position performs independently the routine and complex duties related to the job. CRT members will use their own discretion as much as possible and will request supervisory intervention and guidance on an as needed basis or when appropriate.
The holder of this position may be eligible to telecommute. If telecommuting is approved by management, the employee will be required to maintain all accuracy and timeliness standards as well as meeting individual goals. If accuracy and timeliness standards are not maintained, and individual goals are not met the telecommuting assignment will end.
- Uses various information sources, electronic tools, and systems provided by the Department to collect, assemble, evaluate, and act upon information provided to make contact with families in order to process referrals in a timely manner. Follows policies and procedures for scheduling intake appointments or processing withdrawals. Documents all notes and steps clearly and completely for review and hand-off to the BabyNet Intake Coordinator for eligibility determination.
- Maintain Quality and Accuracy of Referral Process, Proficient with all processes, policies, procedures, and system updates to ensure that all BabyNet referrals are processed accurately with satisfactory documentation. Referrals are added to appropriate calendar of local BabyNet Intake Coordinator, accurately and timely. Resolves discrepancies in a timely manner. Labels all documentation and notes clearly and accurately in OnBase.
- Documentation entered into all information systems timely.
- Adheres to HIPAA, and all federal and state laws regarding privacy, accountability, and reporting instances of lack of compliance properly and timely. Maintains a professional demeanor and communication style, ensuring that communication and interactions with co-workers, supervisors, and beneficiaries is clear, polite, and concise. Participates in customer service and privacy training. Does not breach or otherwise disclose confidential agency, beneficiary, or personnel information and uses appropriate and secured methods of communicating confidential information.
- Attends meetings and training sessions as required. Makes and keeps schedules, completes tasks timely and reports to work timely. Maintains awareness of and complies with all agency policies, to include privacy, confidentiality, standards of conduct, and performance.
- Completes other duties as assigned.

A high school diploma/GED and relevant professional experience in social service programs, business administration, general administrative management or relevant program experience.

- BabyNet Central Referral Team (CRT) members must have a familiarity with computers, standard Microsoft Office software, internet browsers, and the ability to read, write, and speak English in a clear and concise manner.
- CRT members must be able to work in a professional office environment with a diverse group of teammates and provide excellent customer service either face to face, telephonically or through written communication.
- CRT members must be able to learn, retain, and apply information about federal rules and standards for processing BabyNet referrals.
- CRT members must maintain productive workspaces and must perform tasks in an effective manner to ensure the completeness, accuracy, and timeliness of processing BabyNet referrals.
