Student Work-Study Coordinator/Payroll Specialist
JOB SUMMARY : The Student Work Study Coordinator/Payroll Specialist is responsible for assisting with processing all payroll functions and coordinating the University Student Work Study program to ensure compliance with all federal, state, and University policies.
ESSENTIAL FUNCTIONS :
- Responsible, in conjunction with supervisory personnel, for the timely preparation, distribution, and accounting for the University payroll. Including, but not limited to:
o Ensure proper entry of all University payroll-related time entries. o Communicate required deadlines regarding payroll to staff/faculty/student workers. o Assist employees with benefit and deduction questions as needed. o Properly prepare each payroll for processing. o Assist with requested payroll reports.
- Coordinate overall student work study program administration, including setting up new positions, tracking available funds, and ensuring compliance with federal, state, and institutional policies.
- Serve as the primary point of contact for department heads, Assistant Deans, University leadership, and other stakeholders regarding program policies, procedures, and budget-related information.
- Monitor the placement of students in both on-campus and off-campus jobs, collaborating with department supervisors and community service partners to identify available positions.
- Monitor all work-study budgets.
- Communicate budget status to all work-study supervisors.
- Educate student workers and supervisors on student work-study program policies.
- Verify appropriate documentation, including student worker job descriptions, request and approval forms, human resource new hire paperwork, and student worker contracts.
- Develop and conduct work study program training for supervisors.
- Work toward continuously improving financial affairs efficiency and end-user empowerment to support the University’s mission.
- Comply with all university policies.
- Demonstrate flexibility and adaptability to changing work scope and tasks based on need.
Under the Direction of the Director of Student Financial Aid:
- Work closely with the Financial Aid Office to confirm federal work-study eligibility and maintain accurate student worker earnings and hours records. Verify limits on hours worked.
- Maintain Federal Work Study award records in the ERP system.
- Manage federal work-study budget.
Required Qualifications:
QUALIFICATIONS REQUIRED :
- Bachelor’s Degree or equivalent experience. Applicable accounting experience may be considered instead of a degree.
- Proficient use of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Strong interpersonal skills and the ability to work well with students, faculty, staff, and outside customers.
- Effective oral and written communication skills.
WORKING CONDITIONS :
- Ability to remain stationary, such as sitting and/or standing, for prolonged periods.
- Ability to adjust or move objects up to 50 pounds.
- Ability to communicate information and ideas frequently.
- Frequently tasked with repeating motions, including wrists, hands, and/or fingers, such as operating a computer and other office productivity machinery.
- Occasionally operate a motor vehicle.
- Frequently tasked with near vision for using the computer and reading small print.
Salary Schedule:
Salary Band: P210
