Position Summary:
We are seeking a reliable and tech-savvy Administrative Assistant/Bookkeeper to support office operations and serve as the first point of contact at the front desk. This role provides administrative support across various departments and plays a key part in project setup and time tracking. The ideal candidate is detail-oriented, organized, and able to manage multiple responsibilities with a high level of professionalism.

Key Responsibilities:

  • Greet visitors and handle front desk interactions including deliveries and internal staff

  • Answer and direct incoming phone calls to the appropriate team members

  • Order and manage inventory of office supplies

  • Provide occasional administrative support to HR and Accounting departments. Assist with AP/AR/GL entries.

  • Input job details into project management software based on information received from project managers

  • Communicate updates and coordinate with internal departments and external partners regarding project setup

  • Enter crew time into timekeeping software based on submitted documentation

  • Maintain accurate and timely data entry for 56 field teams

  • Follow established processes and procedures (training will be provided)

Preferred Qualifications:

  • Proficiency with Microsoft Office Suite, especially Excel

  • Strong communication and organizational skills

  • Ability to learn new software and systems (ProContractor ERP and Time Clock system training will be provided)

  • Previous experience in administrative support or office coordination is a plus
