Job Title: Administrative Assistant/Bookkeeper

Position Summary:
We are seeking a reliable and tech-savvy Administrative Assistant/Bookkeeper to support office operations and serve as the first point of contact at the front desk. This role provides administrative support across various departments and plays a key part in project setup and time tracking. The ideal candidate is detail-oriented, organized, and able to manage multiple responsibilities with a high level of professionalism.
Key Responsibilities:
Greet visitors and handle front desk interactions including deliveries and internal staff
Answer and direct incoming phone calls to the appropriate team members
Order and manage inventory of office supplies
Provide occasional administrative support to HR and Accounting departments. Assist with AP/AR/GL entries.
Input job details into project management software based on information received from project managers
Communicate updates and coordinate with internal departments and external partners regarding project setup
Enter crew time into timekeeping software based on submitted documentation
Maintain accurate and timely data entry for 56 field teams
Follow established processes and procedures (training will be provided)
Preferred Qualifications:
Proficiency with Microsoft Office Suite, especially Excel
Strong communication and organizational skills
Ability to learn new software and systems (ProContractor ERP and Time Clock system training will be provided)
Previous experience in administrative support or office coordination is a plus
