Accounts Payable SpecialistJob Description We are seeking an energetic, dependable individual to join our team as an Accounts Payable Clerk/Administrative Assistant. This entry-level role will focus primarily (approximately 80%) on accounts payable responsibilities, with the remaining time supporting general administrative tasks. This position will work closely with all office staff roles to assist with daily projects and tasks as needed. The ideal person is well organized, eager to learn, and ready to grow within a fast-paced, collaborative office environment. This person will possess excellent communication skills, accuracy of work, ownership, a sense of urgency, email etiquette, and the ability to hit deadlines. Responsibilities + Answer and direct phone calls, greet and assist customers/vendors who enter the office, and handle sending and receiving of mail and packages. + Verify and process incoming invoices from vendors and route for approval, following up as needed. + Reconcile all vendor statements and respond to inquiries. + Create a weekly check run and pull all supporting documentation. Coordinate check approval and distribution. + Maintain accurate records of all accounts payable transactions. + Maintain and track all company credit card receipts, reconcile receipts to monthly statements, and resolve discrepancies. + Post the credit card statement and coordinate payment with the Accounting Lead. + Maintain and track Certificates of Insurance (COIs), Bureau of Workers' Compensation (BWC) forms, and W-9 forms. + Track safety audits. + Oversee maintenance of office equipment, and order and re-stock office and warehouse supplies, including safety supplies. + Manage office filing systems. + Collaborate with the sales and marketing team on scheduling, special projects, and purchasing items. + Proactively seek opportunities to assist and support others within the organization. + Assist with organizing office events. Essential Skills + Proficiency in accounts payable, invoice processing, invoicing, reconciliation, and month-end tasks. + Strong skills in Microsoft Office, especially Word and Excel. + Excellent communication and interpersonal skills, with a friendly and welcoming demeanor toward co-workers, customers, suppliers, and vendors. + Working knowledge of office equipment such as computers, phones, copiers, and printers. + Excellent time management skills and the ability to prioritize daily tasks. + Attention to detail, problem-solving skills, and organizational abilities. Additional Skills & Qualifications + Experience in the construction industry is a plus but not required. + Current notary or the ability to become a notary within the first 100 days of employment. + High school degree or equivalent required. Pay and Benefits The pay range for this position is $50000.00 - $52000.00/yr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
